Daily Walk around checks
With Road Mate’s Vehicle Checks app, your drivers can perform daily inspections on the condition of heavy goods vehicles using an RSA-compliant vehicle check sheet template on their smartphones.

Each item is defaulted to “no defect” unless a fault is found, ensuring that daily safety checks can be recorded in seconds when there is no defect found.

In the event of a fault, the user simply clicks on the specific defect found and a box will appear to record the details of the fault with an option to upload documents such as pictures of the defect.

Should the user be suitably qualified they can provide details of rectification and upload invoices for parts, which will be sent directly to the central user.

In the event that the user is not suitably qualified, details of the fault will also be sent to the central user for review and once repairs have been made, the document can be updated with the details.

Road Mates system allows for an automatic reporting system that is in line with RSA defect reporting requirements, but also ensures that communication between users, drivers, and administrative personnel is never an issue.

Files generated and completed in this way can be easily stored for future RSA premises inspections as well as providing evidence of defects occurring during operation at roadside inspections.
Periodic Safety Inspections
For ease of use, we have developed a safety check specifically for semi-trailers which is RSA compliant but without items that relate to tractor units. Rigid trucks and tractor units may avail of the regular 12 week check. Similar to the Daily walk-around check, the semi-trailer, rigid truck and tractor units defect items are defaulted to “no defect” when there is no defect found the suitably qualified person may simply sign off and a copy will be sent to the central user for review and filing. When a fault is found an option to enter the details of the defect and repairs will appear as well as the option to upload evidence of repairs. Again, this will be sent to the central user for future RSA inspections.
Safety and Maintenance Scheduling
During the initial set up, you will enter the details of your fleet, registration numbers, chassis number and odometer reading. Depending on the age, usage, condition, and manufacturer specifications, you can determine the frequency of your safety checks. Newer or less used vehicles may require less frequent checks. The App allows you to set reminders for inspections which can be customised to the specific needs of each vehicle. Road Mate allows you to customise the periodic inspections, and you will receive a reminder to your email address and notification on your mobile device when an inspection is due. You may also receive reminders of upcoming CRVT, Tacho Calibration, Tax and Insurance, which can be customised for the needs of the vehicle.
